Privacy Policy

Scivil is part of RVO-Society VZW, with registered office at BE-3001 Leuven, Kapeldreef 75, company number 0472.880.542, +32 16 28 10 64, www.rvo-society.be, hereinafter referred to as 'RVOS', and has responsibility for dealing with personal data.

This Policy therefore indicates the purposes for which the collected personal data is used and how an attempt is made to ensure adequate protection of this data.

In this respect RVOS follows the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing of Directive 95/46 / EU, hereinafter referred to as 'GDPR'.

In addition, RVOS ensures that, in as far as is possible, it conforms to the provisions of the implementing orders taken in response to the aforementioned legislation.

RVOS will not pass on the relevant data to a third country or international organizations, with the exception of the transfer of this data to the newsletter provider Mailchimp. However, the latter transfer will take place only with the consent of the relevant natural person and with due observance by Mailchimp of the necessary security obligations.

Personal data

Personal data includes any information relating to an identified or identifiable person. A person is considered 'identifiable' if he can be identified, directly or indirectly, in particular by reference to an identification number or one or more elements specific to his or her physical, physiological, psychological, economic, cultural or social identity.

For example, as controller, RVOS can collect your name, address, telephone numbers, email address, IP address, etc.

Data management

RVOS ensures proper security of the stored and processed personal data. Both RVOS and its employees take the necessary technical and organizational measures to protect the processing to be carried out.

In as far as is possible and reasonable, RVOS will ensure that the data is updated and that incorrect, incomplete and irrelevant data is corrected or removed.

Furthermore, RVOS will ensure, in as far as is possible and in all reasonableness, that its employees have only limited access to the data and processing options. In particular, they will be limited to those persons who need them for the performance of their duties or to that required by the exigencies of the service.

In this way RVOS attempts to offer an appropriate level of security for this personal data and the processing thereof.

The data subject will be obliged to provide the requested personal data to RVOS as this is a necessary condition for concluding and executing the agreement.

If the data subject does not provide the requested information, RVOS will be unable to provide the requested services.

To carry out direct marketing in a targeted manner, RVOS uses profiling. In this way RVOS will only inform its customers by email of the promotions and products for which they could show a special interest.

Purpose of the processing

RVOS processes personal data for various purposes. With each processing, only the data needed to achieve the intended objective is processed.

More specifically, RVOS pursues the following objectives:

Performance of the agreement
Organization of activities
Billing
Issue of newsletter

Legal basis of the processing

The processing of personal data by RVOS is therefore based on the following legal grounds:

consent of the data subject;
necessity for the performance of the agreement or the taking of pre-contractual measures;
necessity to represent the legitimate interests of RVOS, in particular to ensure the continuity of the activities;
to ensure compliance with all legal or regulatory provisions to which RVOS is subject.

Sharing of data and transfers

In principle, personal data is only shared with the consent of the relevant natural person, or, if necessary, to complete a transaction or ensure delivery of a product or service.

Furthermore, if necessary, the data is shared with RVOS's suppliers, if so required by law, when RVOS is involved in a dispute with the data subject, to protect customers, to ensure the safety of the products and to ensure the (property) rights of RVOS.

RVOS will not pass relevant data on to a third country or international organization.

Data retention period

The collected personal data will be processed by RVOS for the entire period in which the person concerned uses the services of RVOS.

When the data subject ceases to use the services of RVOS, his personal data will be held for a period of ten [VH5] years after the end of the cooperation with the data subject, unless certain legal limitation or retention periods require a longer period.

This period will give RVOS the opportunity to comply with its legal obligations, to enforce regulations, to resolve disputes, to maintain security, to prevent fraud or abuse, etc.

Rights of data subjects

RVOS extends the following rights to the natural person:

right to access his personal data;
right to rectification of incorrect personal data;
right to erasure of his personal data;
right to limit the processing of his personal data;
right to portability of his data;
right to object to automated individual decision-making.

In addition, the data subject has the right to withdraw the consent given by him to the processing of his personal data at any time. However, such withdrawal cannot affect the lawfulness of the processing based on the consent to its withdrawal.

To this end, the data subject can send his request by e-mail to RVOS at the e-mail address dpo@rvo-society.be [VH6].

RVOS will respond forthwith and in any case within one month of the customer's request.

Final provisions

Should the data subject be of the opinion that the processing of their personal data constitutes a violation of the provisions of the GDPR, they may submit a complaint to this effect to the competent supervisory authority.

RVOS expressly reserves the right to alter this Privacy Policy at any time, with no need to issue prior notice.
